How Much Does a Custom App Cost for a Business in Indonesia?

"How much does a custom app cost?" This is the first question we get almost every time. The honest answer: it depends. But "it depends" does not help you plan a budget, so this article explains what it depends on.

That way you can judge a quote from any software house, including ours.

Short answer: The cost of a custom app is set by six things: feature scope, integrations with other systems, design, infrastructure and security, duration, and maintenance. An accurate number can only be worked out once the workflow and the list of systems you use are known.

Six Things That Set the Price

1. Feature scope

This is the biggest factor. An app with a login, one dashboard, and one report is very different from a multi-warehouse inventory system with per-role permissions.

A quick way to measure it: count how many pages or screens you need, then how many different actions can be taken on each screen. The more there are, the longer the work takes.

2. Integration with other systems

A standalone app is cheaper. Once it has to connect to WhatsApp, a marketplace, Accurate, a payment gateway, or an old database, the cost goes up. The cause is not only coding the connection, but also handling messy data and APIs that change.

Write down the systems you already use before asking for a quote. That list changes the estimate more than the feature list does.

3. Design and user experience

An internal tool for five staff does not need the same design as an app used by thousands of customers. Decide who the users are. If the users are your own team, the design can be simple and focused on working fast.

4. Infrastructure and security

Servers, databases, backups, and access rights need to be set up. Questions to answer:

  • Does the app run in the cloud or on your own server?
  • Which data is sensitive?
  • Who may see what?

The stricter the requirements, the more work in this part.

5. Duration and team size

Work that is rushed into a short time needs more people at once. That costs more than work on a normal schedule. If the launch date can move, ask how much the price changes.

6. Maintenance after release

A live app still needs attention: bug fixes, security updates, and adjustments when business processes change. Ask from the start what the warranty covers and for how long.

A Payment Model That Keeps You Safe

Avoid the "pay everything up front, results later" model. Choose payment per milestone, for example:

Stage Share What you receive
Kickoff and architecture design 50% System design and schedule
Testing on staging 30% An app you can try yourself
Handover and go-live 20% A live system, documentation, training

The split above is an example we use at Berkoding. The percentages can differ per project, but the principle is the same: the last payment falls due only after the system is really running.

Three Questions That Reveal Hidden Costs

Ask these of any vendor:

  1. Who owns the source code when it is finished? If the answer is not you, you will be tied to that vendor.
  2. Is there a monthly license fee to run the app? A system built for you should not charge rent every month.
  3. What happens if there is a bug after release? Ask for the answer as a written warranty period.

At Berkoding, all code, the database schema, and the workflows are handed over to you at handover. Projects are done with a fixed scope, so the budget is clear before work begins.

Estimated Delivery Time

As a guide, here are the durations of the packages we offer:

  • Workflow automation (n8n): 1 to 2 weeks
  • AI agents and WhatsApp chatbots: 2 to 3 weeks
  • Custom app or MVP: 3 to 4 weeks

These durations apply to a scope that has already been set. If the scope grows, the schedule and cost change with it.

How to Get an Accurate Estimate

Prepare three things before contacting a vendor:

  1. An outline of the workflow you want to automate or the app you want to build
  2. A list of the tools you use now (WhatsApp, Sheets, Accurate, and so on)
  3. A target launch date

With those three things, the estimate you receive is usually close to the final number.

Frequently Asked Questions

How long does it take to build a custom app?

It depends on scope. Berkoding packages: workflow automation 1 to 2 weeks, AI agents and WhatsApp chatbots 2 to 3 weeks, custom app or MVP 3 to 4 weeks.

Do I own the source code after the app is finished?

At Berkoding, yes. The whole code repository, database schema, and workflows are handed over to you at handover.

Is there a monthly fee after the app is finished?

There is no monthly license fee to run the system that was built. Routine maintenance is optional through a monthly retainer contract with a minimum of 3 months.

What is the payment model?

Per milestone. An example split is 50% at kickoff, 30% at staging testing, and 20% at go-live.
